Once your workspace is set up, Teio becomes your team’s central place for planning and executing work. This guide covers the everyday actions you will use most — creating and organizing tasks, working with your teammates in real time, and keeping tabs on progress across projects.

Creating tasks

Open the task creation dialog

Navigate to any project and click New task at the top of the task list, or press T anywhere in the app to open the quick-create dialog. You can also click the + icon next to any section heading to add a task directly to that section.

Fill in the task details

Complete the following fields to give your task enough context for anyone picking it up:
  • Title — a short, action-oriented description of the work (for example, “Update onboarding email copy”).
  • Description — optional longer context, acceptance criteria, or links. The description editor supports Markdown, inline images, and file attachments.
  • Assignee — the person responsible for completing the task. Type a name or email to search workspace members.
  • Due date — the date by which the task should be complete. Click the calendar icon to pick a date, or type a date in YYYY-MM-DD format.
  • Priority — choose from Urgent, High, Medium, or Low to signal relative importance to your team.

Save and assign the task

Click Create task to save. If you assigned the task to a teammate, they will receive a notification immediately. The task will appear in the project view under the relevant section or status column.
Use keyboard shortcuts to create tasks faster. Press T to open quick-create, Ctrl+Enter (or Cmd+Enter on macOS) to save, and @ inside the description to mention a teammate without leaving the editor.

Organizing tasks into views

Teio gives you three ways to view the tasks inside a project. Switch between them using the view selector at the top of any project page.
The List view shows tasks as rows in a structured table. Each row displays the task title, assignee, due date, priority, and current status at a glance.
  • Group by any field — status, priority, assignee, or due date — using the Group dropdown.
  • Sort rows by any column header. Click once to sort ascending, click again to sort descending.
  • Bulk edit multiple tasks by holding Shift and clicking to select a range, then choosing an action from the toolbar.
List view is best for teams that want a dense, scannable overview of all work in flight.

Collaborating with comments and mentions

Add a comment to a task

Open any task by clicking on its title. Scroll to the Activity section at the bottom of the task detail panel and click the comment input. Type your message and press Enter to post, or Shift+Enter to add a new line without sending.

Mention a teammate

Type @ followed by a name or email anywhere in a comment or description to mention a specific person. The mentioned teammate will receive an in-app notification and an email (depending on their notification preferences). You can also mention an entire team by typing @ followed by the team name.

React to and resolve comments

Hover over any comment to reveal reaction and action options. Use emoji reactions to acknowledge a message without a reply. If a comment thread has been addressed, click Resolve to collapse it and keep the activity feed tidy.

Tracking progress with status updates

Each task moves through statuses that reflect where it stands in your workflow. To update a task’s status, click the status badge on the task row or inside the task detail panel and choose a new status from the dropdown. For an overview of progress across a whole project, open the Progress tab at the top of the project page. This view shows a breakdown of tasks by status, a completion percentage, and a burndown chart if your project has a due date set.
Workspace admins can customize the available status options for each project from Project Settings > Workflow. Adding or renaming statuses affects all tasks in that project.

Filter the current view

Click Filter in the top toolbar of any project view to add one or more filter conditions. You can filter by:
  • Assignee
  • Priority
  • Due date range
  • Status
  • Label or tag
Filters stack — adding multiple conditions narrows results further. Save a filter combination as a Saved view using the Save button so you can return to it later without re-configuring.

Use global search

Press Ctrl+K (or Cmd+K on macOS) from anywhere in Teio to open the global search bar. Type a keyword, task title, or teammate’s name to find matching tasks, projects, comments, and members across your entire workspace. Use the type filters at the top of the results panel to narrow results to a specific category.

Activity feed and notifications

The Activity feed, accessible from the left sidebar, shows a chronological stream of everything happening across your workspace — task updates, new comments, status changes, and more. Use the filter by project dropdown to focus on a specific area. Teio sends notifications for events that involve you directly: task assignments, @mentions, due date reminders, and status changes on tasks you are watching. To adjust how and when you receive notifications, go to Profile > Notification preferences and toggle individual event types on or off for in-app, email, or both.
